Convertels connects to your existing infrastructure. Our goal is not to replace your hotel's current software, but to connect them at the data level and link them to direct sales.
In Short
When Convertels is installed in a hotel, the existing website, PMS, channel manager, virtual PBX and ad accounts are not replaced; a decision layer is added on top of them, connected at the data level. Operations do not stop during installation: guests keep booking and staff keep answering the phone while the connections are made in the background. From each source the system reads only the data that changes a decision β which dates were selected on the site, which web visit a call matches, whether the booking actually materialised. Ad accounts, the domain and guest data stay in the hotel's ownership; Convertels accesses them only with granted permission. The precondition for setup is that the connected systems can expose data: on a closed infrastructure the system will not work properly. Results arrive in stages β first the loss becomes visible, then revenue optimisation begins as signal accumulates.
Connection Map: What Is Read From Which System?
"Data-level integration" sounds abstract. In practice it means this: from each system we read only the data that changes a decision, and we leave the way that system works untouched. Below is what each connection reads, what it does not change, and what it needs in order to be set up at all.
Website and Reservation Engine
What is read
Which room was viewed, which dates were selected, whether a price was seen, and exactly where in the checkout the user dropped off.
What stays untouched
Your site design, your domain and your reservation engine stay exactly as they are.
Precondition
Being able to place measurement code on your pages, and a reservation engine that can expose its step data.
PMS and Channel Manager
What is read
Whether the booking actually materialised, cancellation and no-show status, and which channel the stay came through.
What stays untouched
We do not replace your PMS or channel manager; the screens your staff use stay the same.
Precondition
The system must have an open interface that returns data. On closed systems this connection cannot be made.
Virtual PBX
What is read
When the call arrived, who picked it up, how long it lasted, and which web visit it matches.
What stays untouched
You do not need to port your number or change your PBX provider.
Precondition
The PBX must be able to expose its call detail records (CDR).
Ad Accounts
What is read
Which campaign brings traffic at which intent level, and whether that traffic closes as a sale.
What stays untouched
The accounts stay in your ownership: you grant access, you do not hand them over.
Precondition
Read access and conversion-write permission on your Google Ads and Meta accounts.
CRM and Guest Records
What is read
Whether the caller has contacted you before, their past stays and the offers they were given.
What stays untouched
Your existing guest records stay where they are; they are not copied into a second database.
Precondition
Records must be matchable at person level (phone number or email).
Once these connections are live, the system starts telling the crowd apart from the buyers: a visitor who picks dates, sees a price and comes back to the same room is flagged as a warm prospect by the Hotel Reservation System. A visitor who takes a price and leaves without deciding drops into the Reservation Optimization layer, so contact is made again at the right moment.
Realistic Expectations: When Will Results Be Seen?
Convertels is not a magic wand; it does not promise an instant traffic explosion or miracles immediately after installation. The system is divided into three phases:
Installation
Data sources are connected to the system without stopping operations. The existing infrastructure continues to work without interruption.
From you: access permission on the relevant accounts, and one person to talk to on technical questions.
Data Collection and Balancing
The system analyzes behaviors and calls. The first meaningful signals form and losses begin to become visible.
From you: nothing at this stage β only that advertising and call traffic carry on as normal.
Analysis and Guidance
Once sufficient data is formed, the Decision Engine clarifies which calls are valuable and which campaigns need to be scaled.
From you: acting on the decisions β working the callback list, stopping the campaign that should stop.
As the system passes through these phases and makes the invisible loss visible, it steadily reduces your OTA commission burden and permanently increases your direct booking revenue.

Where It Does Not Work: Preconditions and Limits
We are not the right system for every hotel, and we would rather say so before the installation than after it. In three situations Convertels will not produce the result you are expecting:
A closed infrastructure that returns no data
Convertels works on the data it can read. If your PMS, channel manager or PBX does not expose data, the system cannot be installed properly. That is a technical limit rather than a preference, and we tell you before installation, not after.
A hotel with no ad spend and no call traffic
The system makes better use of the traffic and calls you already have; it does not manufacture demand from nothing. In a hotel that does not advertise and does not sell over the phone, there is no signal to measure.
A team that does not want to run a sales process
The system produces decisions β who to call back, which campaign to stop. Without a team to act on those decisions, the output stays a report and never turns into revenue.
Who owns what?
Your ad accounts, your domain, your guest data and your booking records stay in your ownership. Convertels accesses them with the permission you grant; it does not open those accounts under its own roof and rent them back to you. If you stop working with us, your website, PMS and PBX keep running exactly as before β only the decision layer on top of them is switched off.
